Document Management
The document manager helps you to manage your documents easily and securely. It is here that you store documents like insurance documents, company accounts, standing order form or occupier rules, to name a few. In the document manager all documents are displayed in a table showing their name, size, type, creation date and modified date. As you move the mouse pointer over the table a form is shown that enables you to quickly and easily update the information held about each document.
A document's status can be set to either 'Public' or 'Private'. When it is 'Private' it can only be viewed by those that have login access (typically the management committee or company secretary). When the status is set to 'Public' the document automatically becomes available on the public block website.
In order to publish a document on the public website, just go to the document manager, click on "Add Document", set the status to 'Public', select document from your computer to upload and click "Submit". It is that easy!
Property Database Management
The property manager gives you easy access to information about each property including contact details for leaseholders, occupiers, and letting agencies, for example. If you are an account administrator or editor you can also easily edit these details by clicking on the relevant links in the popup box that is shown for each property.
As properties change hands this is where you register new owners. The property manager also retains a history archive of previous owners and a comments history for each property.
Contact information such as emails, addresses and mobile phone numbers from the property database can be accessed from within the message center thereby making ot easier to send correspondance to leaseholders and/or residents. If more than one member of the management committee have access to the database then the database provides an additional benefit as it makes it easier for one person (for example the chairman) to send a letter to one of the leaseholders when another committee member is responsible for keeping the data up-to-date (such as the company secretary).
Message Centre
The message centre gives you quick and easy access to all messages received to (and sent from) your block. Of course this is only when you are securely logged in so this is a private message box that anyone doesn't have access to. All messages sent from the public block website will show up here which provides the benefit that if the person that normally deals with correspondance is away then someone else in the management team can easily pick this task up instead. The perception from leaseholders and residents is that of a well run and consistent management company.
The message center enables you to send emails and SMS as well as print letters and labels with the correct addresses that you select from the property database or enter on-the-fly. This helps you save time and effort while sending important corresponance to leaseholders for example.
As the message centre and property database are connected you can easily select recipients for a message by ticking the relevant boxes next to whichever leaseholder, resident or committee member that is to receive the letter, email or SMS.
